Weare Giffard Village Hall Terms & Conditions of Hire

The occupation of the hall is permitted only under the following conditions and the Hiring Agreement is deemed to be acceptance of these conditions. This hiring form must be completed, signed and returned to the Bookings Secretary prior to the event date to validate the hire insurance and the Hire Agreement. The Bookings Secretary shall agree with the Hirer the date by which the form must be returned.

We ask that you read and understand these terms and conditions of hire before making your booking. The Terms and Conditions were last updated in September 2022.

1.Hirers from outside of the village, including individuals and organisations, shall be subject to a £50 retention fee refunded on satisfactory inspection of the hall.

2.The Hirer shall be responsible and indemnify the Village Hall Committee against any claim, demand, action proceeding and cost arising from the use of the premises in pursuance of the hiring.

3.No alteration or addition to the electrical installations may be made without authority of the committee, nor may electrical circuits be overloaded.

4.The Hirer shall ensure that any electrical appliances brought into the hall shall have been electrically tested by a suitably qualified person and be in good working order

5.The Hirer, if preparing, serving or selling food, must observe all relevant food health and hygiene legislation and regulations.

6.The skittle alley, balls and pins should not be used without the prior permission of the Weare Giffard Skittle Club

7.The Hirer is responsible for ensuring that the floors, especially in the kitchen and toilets, are kept in a dry condition during the hiring period.

8.All music on a Saturday night must cease by midnight.

9.The Hirer and occupiers are strictly prohibited from using any form of fixing on walls or doors. Hooks are already in place and these should be used for fixing decorations and such like

10.No intoxicating liquor to be sold on the premises without the Hirer obtaining agreement with the Bookings Secretary and obtaining the appropriate Licence from Torridge District Council.

11.The Hirer shall take all reasonable precautions for the safety of those present and it is the responsibility of the Hirer to ensure that alcohol is neither purchased nor brought into the hall by underage persons.

12.The village hall committee is committed to the protection and safety of everyone who enters our premises including children, young people and adults at risk involved as visitors and/or as participants in all activities and events. We also have a duty to safeguard and support our trustees, volunteers, and staff. Our safeguarding policy can be found on our website, https://wearegiffard.org/safeguarding-policy/ and we ask hat you familiarise yourself with this document.

13.Hirers also have a duty of care under the Care Act 2014 and the Children Act 1989 and 2004.

14.Smoking is strictly prohibited on the premises and within its environs, including at the entrance and exits.

15.All rubbish bins must be emptied and rubbish removed from the premises by the Hirer. A charge of £20 will be made for the removal of any rubbish/rubbish bags left on the premises. This will be implemented in the form of a refundable deposit.

16.Lights, heaters, appliances and water taps must be switched off prior to vacating the premises. The Hall shall be left in the same state of cleanliness and tidiness as found.

17.The Committee reserve the right to charge the Hirer for any damages caused to the property, furniture or equipment and for any other expenses incurred. The Hirer shall make good to the satisfaction of the Committee for any expenses incurred.

18.The Hirer shall be responsible for ensuring neighbours are not disturbed by noise during the course of hire and when leaving the premises.

The Committee reserve, for their Officers, the right of entry to the Hall whilst hired.
