WEARE GIFFARD VILLAGE HALL - HIRING AGREEMENT
You agree to the following terms and conditions by hiring the Weare Giffard Village Hall.
A completed and signed Hiring Agreement must be submitted to the Bookings Secretary by the agreed date before the event. This validates the hire insurance and confirms the Hire Agreement.
Booking & Fees:
Hirers from outside the village (individuals and organisations) must pay a Β£50 retention fee, refundable after a satisfactory hall inspection.
The Hirer is responsible for repaying the Village Hall Committee against any claims, demands, actions, or costs arising from using the hall during the hire period.
Electrical Installations:
No alterations or additions to the hallβs electrical systems are permitted without committee approval.
The Hirer is responsible for ensuring that any electrical appliances brought into the hall are tested and in good working order.
Health & Safety:
Hirers preparing, serving, or selling food must comply with all food health and hygiene laws.
The Skittle alley, balls, and pins may only be used with permission from the Weare Giffard Skittle Club.
Floors must always be kept dry, particularly in the kitchen and toilets.
Noise & Alcohol:
All music must cease by midnight.
The sale of intoxicating liquor requires prior agreement from the Bookings Secretary and the appropriate license from Torridge District Council.
The Hirer is responsible for ensuring that underage persons on the premises do not consume alcohol.
Decorations & Fixtures:
No fixings, such as nails or adhesives, may be used on walls or doors. You can use the provided hooks for decorations.
Safeguarding:
Weare Giffard Village Hall is committed to the safety of all visitors, including children and vulnerable adults. The safeguarding policy is available at wearegiffard.org/safeguarding-policy. Hirers must familiarise themselves with this document and comply with the Care Act 2014, Children Act 1989, and 2004.
Smoking & Rubbish:
Smoking is strictly prohibited inside and near the premises.
All rubbish must be removed from the hall by the Hirer. A Β£20 charge will apply if rubbish is left behind, which is refundable upon proper disposal.
End-of-Hire Responsibilities:
Please ensure all lights, heaters, appliances, and taps are turned off before leaving the hall.
The hall must be left clean and tidy as found.
Damages:
Any property, furniture, or equipment damage will be charged to the Hirer. The Hirer must ensure the hall is in good condition and repair any damage to the Committeeβs satisfaction.
Noise & Neighbours:
The Hirer ensures minimal noise and neighbours are not disturbed during and after the event.
Committee Rights:
The Committee reserves the right to enter the hall during the hire period.
